Position Summary
Manage admission, registration, and student services for a seamless student experience. Effectively oversee and improve the monitoring of the academic progress of students using the Student Information System (SIS), ensuring precise grade entry and timely resolution of student issues, and maintaining comprehensive academic records.
Major Accountabilities
Strategy and Planning
- Design and manage strategic academic calendars and dynamic weekly schedules for the school’s departments, optimizing course coordination and simplifying faculty workload distribution to enhance overall operational efficiency and academic delivery.
- Prepare and present regular reports on department progress and outputs to be shared with relevant stakeholders in line with reporting requirements.
Admission and Registration
- Identify target groups in consultation with academic and student affairs departments/programs for student recruitment and off-campus, and conduct visits to appropriate groups.
- Manage admission processes, ensure proper evaluation of incoming applications based on pre-set criteria, and facilitate communication channels with relevant candidates to complete the required documentation.
- Monitor the development of academic calendars and comprehensive schedules, highlight program start dates, add/drop periods, registration deadlines, and late submissions, and ensure proper communication of calendars with relevant stakeholders.
- Compile lists of accepted, conditionally accepted, and rejected students; review and initiate communication of these lists to Academic Affairs; and communicate finalized decisions to students after approval by the Standing Committee.
- Manage and supervise the billing and payment processes for students, ensuring coordination with the Finance and Accounts department.
- Review and evaluate acceptance decisions under standardized templates, and ensure proper communication of decisions with applicants in a timely manner.
- Manage communication channels to inform enrolled students about program requirements, expectations, and updates, ensuring clear and consistent messaging through various platforms.
- Manage the student management system to inform them about their academic calendar, exam schedule, etc.
- Manage the development of internal dashboards to track KPIs related to admissions and registration processes.
- Review and manage student decisions covering admissions, registration, admission deferral, withdrawing or dropping/adding courses, termination of study, and other requests.
- Coordinate with IT team to provide ongoing students and alumni access to the student information system for their personal and academic information, as well as the ability to conduct different online registration activities.
- Develop and implement information sessions, receptions, and orientation programs to ensure that all students are familiarized with KSPP’s programs, culture, policies, resources, and academic expectations, fostering a smooth integration into the educational environment.
- Act as the first point of contact for school enrollment and course enquiries, whether by telephone, email, in person, etc.
- Develop classes and examination schedules to prevent time conflicts in coordination with the Program Director, and ensure proper communication of course details and class allocations with relevant stakeholders.
- Oversee examination management covering but not limited to proctoring and assigning relevant resources, handling students’ excuses for not attending exams or late/not submitting final research or assignments, student grade appeals, make-up exams, etc.
- Manage academic administration requirements in coordination with relevant internal stakeholders, and manage computer accounts, including student IDs, graduation ceremonies, etc.
Admissions and Registration Management
- Assist in collaborating with other schools and/or departments to ensure a coordinated approach to student recruitment and retention activities.
- Coordinate and manage the Admission Committee, ensuring the process is according to policies and best academic standards.
- Coordinate and manage interview processes for prospective candidates, and compile lists of accepted, conditionally accepted, and rejected students; review and initiate communication of these lists to Academic Affairs; and communicate finalized decisions to students after approval by the Standing Committee.
- Review pre-set scholarship criteria by funding entities, the Standing Committee, and the College Council to ensure equal opportunity for students and fair allocation of funds.
- Oversee the scholarship selection process, guide the evaluation of incoming applications based on pre-set criteria of candidates, provide support in shortlisting candidates when needed, and ensure the timely communication of scholarship decisions to prospective students.
- Review and manage student decisions covering admissions, registration, admission deferral, withdrawing from and dropping/adding courses, termination of study, and other requests.
- Handle the issuance of official students’ certificates to confirm completion of the academic program or a specific course of study, in addition to students’ transcripts.

- Adhere to all relevant departmental policies, processes, standard operating procedures, and instructions so that work is carried out in a controlled and consistent manner.
Reporting
- Analyze the information and prepare reports and dashboards in a timely and accurate manner to meet requirements, policies, and quality standards.

Qualifications and Experience
Recommended Qualifications and Years of Experience
- Bachelor’s degree in Business Administration, Information Technology, or any other related field with 4-7 years of relevant experience, OR
- Master’s degree in Business Administration, Information Technology, or any other related field with 2-5 years of relevant experience.
- Prior experience in admission and registration is a must.
